Monthly Payroll Compliance Checklist for Indian Employers
Why a payroll checklist matters
Payroll mistakes are expensive: late statutory deposits attract interest and penalties, and salary errors damage employee trust. A fixed monthly checklist keeps every cycle predictable.
Before processing payroll
Lock attendance and leave for the period, confirm new joiners and exits, and collect any salary revisions, bonuses or deductions approved during the month.
Verify investment declarations so TDS projections are accurate.
Statutory deductions to review
Check Provident Fund (PF) and Employees' State Insurance (ESI) contributions for eligible employees, Professional Tax as per each state's slab, Labour Welfare Fund where applicable, and income tax (TDS) on salary.
Rules and due dates change, so confirm current rates with your chartered accountant or the official portals each year.
After payroll is approved
Generate the bank transfer file, release salaries, publish payslips to employees, and deposit statutory dues and file returns before their due dates.
Keep a signed payroll register and reconciliation for audit.
Automate what you can
Payroll software can calculate deductions, generate payslips and reports, and remind you of due dates — so the checklist becomes a review step instead of a manual one.
